Our Residential
Property Services
At Legacy Property Services, we provide professional, independent property inventory reports designed to protect landlords, letting agents and tenants by establishing a clear and accurate record of a property’s condition at the beginning of a tenancy.
Â
A comprehensive inventory is one of the most important documents in the letting process. It provides a detailed account of the property’s condition, cleanliness, fixtures, fittings and contents, supported by photographic evidence.
Our approach is thorough, impartial and methodical, ensuring that every report provides a reliable point of reference throughout the tenancy and when the property is eventually vacated.

What Is a Property Inventory Report?
A Property Inventory Report is a detailed written and photographic record of a rental property’s condition, normally prepared before a new tenant moves in.
Â
It documents the overall condition of the property, including any existing marks, damage, defects or signs of wear, alongside the cleanliness and condition of fixtures, fittings and furnishings.
Â
The purpose of the report is to establish an accurate starting point for the tenancy, allowing the property’s condition to be fairly assessed against the original record at the end of the tenancy.
Â
Without a comprehensive inventory, it can be difficult to establish whether damage or deterioration occurred during the tenancy or was already present beforehand.
Â
A professionally prepared report helps reduce this uncertainty and provides valuable supporting evidence should a deposit dispute arise.

What Does Our Inventory Inspection Include?
Internal Condition
Â
We record the condition of walls, ceilings, flooring, skirting boards, doors, windows and other internal features, noting any existing damage, marks, stains or general wear.
Â
Kitchens and Bathrooms
Â
Particular attention is given to kitchens and bathrooms, including worktops, cupboards, sinks, sanitaryware, taps, tiling, appliances and other fixtures and fittings.
Â
Fixtures, Fittings and Contents
Â
We document the condition of permanent fixtures, fittings and any furniture or contents supplied with the property, providing a clear record of what is present at the time of inspection.
Cleanliness Standards
Â
The standard of cleanliness is assessed and recorded throughout the property, including areas where additional cleaning may be required.
Â
Photographic Evidence
Â
Clear photographs support our written observations, providing visual evidence of the property’s overall condition and any existing defects or areas of concern.
Â
External Areas
Â
Where applicable and accessible, we also inspect external areas such as gardens, patios, balconies, garages and outbuildings, recording their general condition.
Our Inventory Process
Step 1 – Booking Your Inspection
Â
Once an appointment has been arranged, our inventory clerk attends the property at the agreed time. Ideally, the property should be vacant, fully prepared and ready for the incoming tenancy to ensure the most accurate assessment.
Â
Step 2 – Detailed Property Inspection
Â
We work systematically through the property, recording the condition and cleanliness of each room, along with its fixtures, fittings and contents.
Â
Any existing defects, damage or signs of wear are documented using clear, objective descriptions.
Step 3 – Supporting Photographs
Â
Throughout the inspection, photographs are taken to provide visual evidence of the property’s condition. Particular attention is given to existing damage, cleanliness concerns and areas that may require future comparison.

Step 4 – Report Preparation
Â
Following the inspection, our findings are compiled into a professionally presented digital Inventory Report, combining detailed written descriptions with supporting photographs.
Â
Step 5 – Report Delivery
Â
The completed report is provided to the relevant client, ready to be used as the property’s starting condition record for the new tenancy.
Why Is a Professional Inventory Important?
A detailed inventory is an essential part of responsible property management.
Â
Protecting Landlords
Â
A comprehensive inventory helps protect your investment by documenting the property’s condition before the tenancy begins. It provides important evidence when assessing any changes in condition at check-out, taking fair wear and tear into consideration.
Â
Supporting Letting Agents
Â
For letting agents and property managers, an independently prepared inventory provides consistent, professional documentation that supports efficient tenancy management and helps reduce the potential for disagreements.
Providing Clarity for Tenants
Â
An impartial inventory also protects tenants by recording any existing damage, defects or cleanliness issues before they take responsibility for the property.
Â
Supporting Deposit Disputes
Â
Where disagreements arise at the end of a tenancy, a detailed inventory, considered alongside check-out findings and other relevant evidence, can help establish the property’s original condition and support a fair assessment.
