Our Residential
Property Services
At Legacy Property Services, we provide professional, independent Check-Out Inspection Reports designed to give landlords, letting agents and tenants a clear and impartial assessment of a property’s condition at the end of a tenancy.
Â
The end of a tenancy is an important stage in the letting process. Establishing how the property’s condition has changed since the tenant moved in is essential for identifying any damage, cleaning requirements or missing items, while ensuring that fair wear and tear is properly considered.
Our Check-Out Inspections provide a detailed comparison against the original inventory, supported by written observations and photographic evidence, helping all parties understand the property’s condition at the point of handover.

What Is a Check-Out Inspection Report?
A Check-Out Inspection Report is a professional assessment of a rental property’s condition at the end of a tenancy.
Â
Using the original Inventory Report as a reference, our inventory clerk carries out a systematic inspection to identify any changes in the property’s condition, cleanliness, fixtures, fittings and contents.
Â
The purpose of the inspection is to distinguish between the property’s original condition, reasonable wear and tear, and any deterioration or damage that may require further consideration.
Â
Our reports provide an independent record of the property’s condition at check-out, helping landlords and letting agents assess potential maintenance, cleaning or replacement requirements.
Â
Where disagreements arise, the report can also provide valuable supporting evidence during the tenancy deposit resolution process.

What Does Our Check-Out Inspection Include?
Property Condition Comparison
Â
We assess walls, ceilings, flooring, doors, windows and other internal features, identifying changes in condition since the start of the tenancy.
Â
Damage and Deterioration
Â
Any newly identified damage, marks, stains, breakages or deterioration are documented, with consideration given to the property’s original condition and reasonable wear and tear.
Â
Cleanliness Assessment
Â
We compare the property’s cleanliness against the standard recorded at the beginning of the tenancy, highlighting areas where additional cleaning may be required to return the property to its original documented standard.
Â
Fixtures, Fittings and Contents
Â
We inspect fixtures, fittings, appliances and any furniture or contents listed in the original inventory, noting damage, missing items or changes in condition.
External Areas
Â
Where applicable and accessible, we assess gardens, patios, balconies, garages and other external areas, noting any changes or maintenance concerns.
Â
Meter Readings
Â
Where meters are accessible, we record the final gas, electricity and water meter readings, where applicable.
Â
Keys and Access Devices
Â
Where included in the agreed service, we record keys, fobs and access devices returned at the end of the tenancy and note any apparent discrepancies against the original record.
Â
Photographic Evidence
Â
Clear photographs are taken to support our observations, particularly where damage, cleanliness concerns or missing items have been identified.
Our Check-Out Inspection Process
Step 1 – Booking the Inspection
Â
The Check-Out Inspection is arranged for the end of the tenancy, ideally once the tenant has removed their belongings and completed any cleaning or other responsibilities.
Â
For the most accurate assessment, the property should be vacant and ready for inspection.
Â
Step 2 – Reviewing the Original Inventory
Â
Before or during the inspection, our clerk reviews the original Inventory Report and any relevant supporting documentation to establish the property’s recorded condition at the beginning of the tenancy.
Â
Step 3 – Detailed Property Inspection
Â
We carry out a systematic, room-by-room inspection, comparing the property’s current condition against the original inventory.
Â
Any changes, damage, cleanliness issues or missing items are carefully documented using clear and objective descriptions.
Step 4 – Photographic Documentation
Â
Relevant photographs are taken to support the findings and provide visual evidence of any changes in condition or areas requiring attention.
Â
Step 5 – Report Preparation
Â
Following the inspection, we compile our findings into a professionally presented digital Check-Out Report, detailing the property’s condition and identifying relevant differences from the original inventory.
Â
Step 6 – Report Delivery
Â
The completed report is provided to the landlord or managing agent, offering a clear record of the property’s condition at the end of the tenancy.
Â
The findings can then be reviewed alongside the tenancy agreement, original inventory and other relevant evidence when considering any cleaning, repairs or potential deposit deductions.
Understanding Fair Wear and Tear
Fair wear and tear is an important consideration during any Check-Out Inspection.
Â
Over the course of a tenancy, some deterioration will naturally occur through normal everyday use. This is different from damage caused by negligence, misuse or an accident.
Â
When documenting changes in condition, relevant factors may include the length of the tenancy, the original condition and age of the item, its expected lifespan and the number of occupants.
At Legacy Property Services, our role is to provide accurate, impartial observations and clear comparisons rather than automatically treating every change in condition as tenant damage.
Â
This helps landlords, letting agents and tenants make informed and fair decisions based on the available evidence.
Why Is a Professional Check-Out Report Important?
Protecting Landlords
Â
A detailed Check-Out Report helps landlords understand how their property’s condition has changed throughout the tenancy and provides evidence when considering repairs, cleaning or replacement requirements.
Â
Supporting Letting Agents
Â
For letting agents and property managers, independent Check-Out Reports provide clear and consistent documentation, helping streamline the end-of-tenancy process and reduce uncertainty.
Â
Ensuring Fairness for Tenants
Â
An impartial inspection helps distinguish between pre-existing issues, reasonable wear and tear and changes that may require further consideration, supporting fair treatment of tenants.
Supporting Deposit Disputes
Â
Where disagreements arise over proposed deposit deductions, a professionally prepared Check-Out Report can provide valuable evidence when considered alongside the original inventory, tenancy agreement and other relevant documentation.
Â
Preparing for the Next Tenancy
Â
A Check-Out Inspection can also highlight maintenance, cleaning or replacement work that may be required before the property is ready for its next occupants.
